ABOUT THE ROLE

HIAA Is Hiring: Part-Time Operational Manager
Application Open Until Filled | Position Ends 31 December 2025

Thanks to the recent Taike grant, Helsinki International Artists’ Association (HIAA) is currently seeking a part-time Operational Manager to support the association’s activities, communications, and events. This dynamic and multifaceted role involves working closely with the HIAA board and international artist community to ensure the smooth running of our programmes and initiatives.

This is a mostly remote position with flexible working hours (25 hours per week). The selected candidate must use their own computer and phone to carry out the work. Occasional evening and weekend availability onsite is required, especially during events, exhibitions, and workshops.

GET TO KNOW THE ROLE

JOB RESPONSIBILITIES

  • Oversee and coordinate the association’s ongoing operations

  • Support planning and execution of events and exhibitions

  • Write exhibition press releases and prepare exhibition catalogues

  • Run open calls and manage application processes

  • Coordinate monthly Sunday Brunches (community events held once per month)

  • Help with installation and deinstallation of exhibitions

  • Coordinate and support the production of workshops

  • Maintain the association’s calendar and project management tools

  • Organise and maintain the association’s digital archives

  • Assist with writing and sending newsletters

  • Respond to inquiries from members, artists, and partners

  • Communicate regularly with HIAA members and support their needs

  • Collaborate with chairpersons and support the board’s activities as needed

WHAT WE'RE LOOKING FOR

  • Strong administrative and communication skills

  • Proven experience in a similar position or relevant educational background

  • Excellent written and spoken English (our working language)

  • Additional language skills are an asset (Finnish, Russian, Swedish, etc.)

  • Previous experience in the arts or cultural sector is highly valued

  • Experience with workshop coordination and/or cultural production is a plus

  • Proficiency with online tools for remote work and project management

  • Self-motivated, reliable, and comfortable working both independently and collaboratively

  • Flexible and enthusiastic about supporting a small, creative team

  • Working Hours: 25 hours/week (flexible)

  • Salary: 1350€/month (part-time)

  • Location: Hybrid (own computer and phone required)
